How to connect Ticket Tailor to your other apps using Zapier

Connect Zapier to Ticket Tailor to automate countless tasks

Our Zapier integration makes it easy to connect Ticket Tailor with over 400 other tools and set up actions when something happens in your account – no coding needed. You can:

  • Trigger actions when something changes in your box office (new orders, events, waitlist signups, and more)

  • Action calls to pull, create, update, or delete resources (events, tickets, products, discounts, and more)

This'll enable you to seamlessly automate a number of mundane tasks, like transferring ticket sales details to a Google spreadsheet or putting together a mailing list from event attendees. Our guide will show you how to get started, explain key concepts, and walk through common patterns for chaining steps.

💡 Before you get started, please make sure you've signed up for a Zapier account.


Create an API key before you get started

  • You'll need to generate an API key to use our latest Zapier integration.

  • Open 'Box office settings', and click 'API' from the left-hand menu.

  • Click 'Generate a new key'.

  • Give it a name, and set the role to 'Admin'. Make sure to uncheck the checkbox for 'Hide personal data from responses'.

  • Click 'Generate key'.

  • Make sure to copy the key down somewhere, as we can only show it to you once. Then click 'I have saved this key'.

💡 Generating the API key with the 'Admin' role is necessary even for integrations that appear 'read-only'. You can reduce the API key's permissions after initial setup if needed.


How to connect Zapier with Ticket Tailor

  • From the 'Box office settings' section of your dashboard, choose 'Integrations' from the side menu.

  • Navigate to the 'No code automations' tab.

  • Click 'Sign up' if you're new to Zapier, or 'Log in' if you already have an account. You'll be prompted to log in to your Zapier account.

How to create your first Zapier workflow

  • After you've connected logged into Zapier, you'll be taken back to the Ticket Tailor integrations page, where you can create a new workflow, or use a popular workflow by clicking 'Use this workflow'.

  • Let's say you'd like to create your own workflow - click 'Create workflow'.

  • A Zapier pop-up will open.

  • Open the 'Trigger' menu to select which app you'd like to start your Zap from, and from the search modal, look up 'Ticket Tailor'.

  • On the right hand side, you'll see an 'Account' field, where you can connect to your Ticket Tailor account. Click on the 'Sign in' button.

  • Click the 'Yes, Continue to Ticket Tailor' button.

  • Once that's done connecting, the window will close automatically, and you should now see an account listed in the Account dropdown. Select it.

  • Click 'Continue' to test the connection.

  • If the test is successful, you'll see a green checkmark, and you're ready to continue building your Zap.

  • If your test is unsuccessful and your data is not being sent to Zapier, please double check your API key. You can create a new key if needed.

  • You can also create workflows from directly in Zapier by clicking on the '+ Create' button from the left-hand corner of the Zapier homepage and selecting 'Zaps'. You can then follow the same process outlined above.


Understanding Zapier Triggers and Actions

Below is an explanation of some of the triggers and actions you can use with Zapier. The full and updated list of triggers is in our Webhook documentation, and the full and updated list of actions is in the API documentation.

These actions enable you to automate various aspects of event management, from ticket sales and attendee tracking, to promotions and product offerings. By integrating these actions into Zapier, you can create customised workflows that connect Ticket Tailor with other apps and services.

Triggers

'Order' events

  • Order Created: Triggers when a new order is placed—ideal for sending confirmation emails or logging new sales.

  • Order Updated: Fires when an existing order changes, including cancellations or modifications.

'Issued ticket' events

  • Issued Ticket Created: Activates when a new ticket is issued, such as after a purchase.

  • Issued Ticket Updated: Occurs when a ticket is updated—this includes voiding or reissuing a ticket.

'Event' events

  • Event Created: Triggers when a new event is added to your Ticket Tailor account.

  • Event Updated: Fires when an event is edited—such as changing the date, venue, or description.

  • Event Deleted: Occurs when an event is removed from your listings.

'Waitlist signup' events

  • Waitlist Signup Created: Activates when someone joins the waitlist for a sold-out event.

Actions

Ticketing & orders

  • Create Issued Ticket: Generate a new ticket for an attendee, useful for manual ticket issuance or special cases.

  • Void Issued Ticket: Cancel a ticket, rendering it invalid for event entry.

  • Get List of Orders: Retrieve a list of all ticket orders, helpful for reporting or syncing with other systems.

  • Get Order Details: Access detailed information about a specific order, including purchaser details and ticket types.

  • Update Order: Modify order information, such as attendee details or ticket quantities.

  • Confirm an Offline Payment Has Been Paid: Mark an order as paid when payment is received outside of the Ticket Tailor system.

Events and scheduling

  • Create Event Series: Set up a series of recurring events, such as weekly workshops or monthly meetups.

    • To create a single event with Zapier, use the 'Create an Event Series' action.

      • You will see the event in your Ticket Tailor account, in your 'Events' tab, above the list of events. It will appear as a recurring event without occurrences. Then when first occurrence is created, it will appear as non-recurring event.

    • To create your occurrence in Zapier, you can chain another action to create the event occurrence, and reference the event series id from the previous 'Create Event Series' action. (The Zap should return newly created event series data in its response)

  • Get List of Events: Retrieve all events in your box office, useful for displaying upcoming events on your website.

  • Get Event Details: Access information about a specific event, including date, time, and venue.

  • Update an Event Series: Modify details of an existing event series, like changing the time or venue.

  • Delete an Event Series: Remove an entire series of events from your schedule.

Discounts and vouchers

  • Create a Discount Code: Generate a promotional code that offers a percentage or fixed amount off ticket prices.

  • Update a Discount Code: Modify the details of an existing discount code, such as expiration date or discount amount.

  • Delete a Discount Code: Remove a discount code from your system.

  • Create a Voucher: Generate a voucher that can be redeemed for tickets, often used for gift cards or special promotions.

  • Update a Voucher: Modify the details of an existing voucher.

  • Delete a Voucher: Remove a voucher from your system.

Products and bundles

  • List Products: Retrieve all products available for sale, such as merchandise or add-ons.

  • Create a Product: Add a new product to your offerings.

  • Update a Product: Modify details of an existing product.

  • Delete a Product: Remove a product from your catalog.

  • Create a Bundle: Combine multiple products or tickets into a single package.

  • Update a Bundle: Modify the contents or pricing of an existing bundle.

  • Delete a Bundle: Remove a bundle from your offerings.

Waitlists and holds

  • List Waitlist Signups: Retrieve all individuals who have signed up for event waitlists.

  • Delete a Waitlist Signup: Remove someone from a waitlist.

  • Create a Hold: Reserve a set number of tickets for a specific group or purpose.

  • Update a Hold: Modify the number of tickets or details of an existing hold.

  • Delete a Hold: Remove a hold, releasing the reserved tickets back into general availability.

Check-ins and attendance

  • List Check-ins: Retrieve all check-in records for your events.

  • Create a Check-in: Manually record an attendee’s arrival at an event.


💡 Things to note 

  • Ticket Tailor Memberships are not available as a data point/webhook in Zapier.

  • You can contact Zapier Support here. Unfortunately, we're not able to help with support issues related to other apps. If you're getting test data from Ticket Tailor when setting up your Zap but running into another issue, you'll need to contact Zapier or the other third-party app for assistance.

  • If you're not seeing test data in your Zapier account, reach out to customer support.

  • If you're using the legacy Zapier integration, you will see a masked API key and must verify via 2FA or email to reveal the full Zapier secret key. This is to help keep your account secure.
