How can I edit my Event confirmation email?

Your 'Event confirmation email' sends tickets or online event links to your attendees, as well as anything else they need to know. It's easy to edit from your box office 'Settings' → 'Email templates'.

You can customise the Event confirmation email a buyer receives when they're sent a ticket for your event. This is useful if you want to provide extra information, such as directions to the event, the refund policy, or if you want attendees to bring photo ID to the event. It's also useful if you'd like to remove elements from the email, such as the QR code.

How to edit your event confirmation email for all of your events

  • Open your box office Settings.

  • Choose Email templates from the left-hand side menu.

  • Under the Standard tab, in the box called Event confirmation email, click Edit.

  • By default, you'll see the editor for In-person events. If you're running an online event, use the dropdown to switch to the template for Online events.

  • You can edit your event confirmation email as you would when editing an email. For example, use the formatting buttons to bold or italicise certain parts of the text, insert images, or turn text into links.

  • Use the people icon to insert a placeholder, which can automatically add standard attendee or event details (like name, date, or venue) into the email. Click the Insert placeholder button, and choose the field from the drop-down menu.

  • Use the checkbox to decide if you'd like to attach your ticket vouchers as a PDF.

  • When you're done, click Save.

How to edit your event confirmation email for a specific event

  • Find the event you want to edit, and click to open it.

  • Next, choose Event confirmation from the side menu.

  • Click the button marked Event specific confirmation and edit as above.

💡 Things to note

  • An Event confirmation email contains the tickets or online event link for buyers of tickets of your event, and is sent automatically when someone buys a ticket or registers for an event in your box office.

    • Event confirmation emails can also be sent to imported attendees.

    • Event confirmation emails will only be sent to the buyer, not to the attendee emails added to specific tickets (if you've asked for them). For example, if I buy four tickets, only one event confirmation will be sent (to me), and I would need to forward the other information to my three friends.

  • An Order confirmation email is sent every time someone places an order in your box office. This includes:

    • Buying a ticket or registering for a free event in your box office.

    • Ordering a Product from your Store.

  • You can remove the QR code from your event confirmation email by opening the email editor and deleting the QR code element from the template. Follow the steps above to open the editor for all events or a specific event.

  • We recommend that you keep all images in your email under 5MB in total, so sending stays fast. For optimised designs, use JPGs or PNGs at 600px wide and 1MB each, and avoid GIFs.
