How to send membership renewal reminder emails

Set up your membership renewal reminder emails to send automatically to members 7 days before their membership expires.

Membership renewal reminder emails help you keep hold of your members by giving them a friendly nudge before their membership runs out. Sent automatically 7 days before expiry, they make it easy for members to renew on time - so you can boost retention, avoid lapsed memberships, and save time chasing people up manually.

You can also optionally add extra information if there’s anything specific you want to share with your membership holders.

How to set up your membership renewal reminder email

  • Before enabling this reminder email, memberships need to be available for sale in your Store or Box Office.

  • The membership renewal reminder email is not enabled by default. In the membership type details, be sure to tick the option “Send member a renewal reminder email”.

  • A ready-made template is provided, and you can customise it as you like.

Optional: edit your membership renewal emails

  • To start editing the master template for your membership renewal reminder email, open 'Box office settings' from your Ticket Tailor dashboard.

  • Choose 'Email templates' from the side menu.

  • In the tab called 'Memberships', select 'Membership renewal reminder emails' and click 'Edit'.

  • Here, you can edit your 'membership renewal reminder emails' as you would when editing an email.

    • Use the formatting buttons to bold or italicise certain parts of text, insert images, and turn text into links.

    • Use the people icon to add 'Placeholders'. These can be used to automatically place some member details, or memberships details, into the renewal reminder email. Click the 'Placeholders' button and choose the field from the drop-down menu.

      • You have two options for the placeholder CTA button when choosing where to redirect your members: you can link it either to the Product Store or to the Box Office.

      • The placeholder text on the CTA button, 'Renew membership' can’t be edited.

  • When you’re done, click the button marked 'Save'.


💡 Things to note

  • Each reminder email uses a single customisable template per box office (not per membership type).

  • The option to turn on reminders is set at the membership type level.

  • The subject line is fixed and can’t be customised.

  • If you can't see the option to edit your membership renewal reminder emails, this is because you're using an older version of confirmation emails. Contact Customer Support to add the new reminder emails to your account.
