How to send pending membership reminder emails

Automatically send reminder emails 7 and 21 days after purchase to customers who have ordered a membership but have not provided their membership details.

Pending membership reminder emails give your members a friendly nudge if they forget to add their details. Sent automatically after 7 and 21 days, they make it easy for members to finish setting up - and save you the hassle of chasing.

You can also optionally add extra information if there's anything specific you want to share with your membership holders.


How to set up your pending membership reminder emails

  • By default, pending membership reminder emails are enabled for any new membership type. They'll automatically go out 7 and 21 days after purchase to anyone who's bought a membership but hasn't added their details.

    • If you'd prefer not to send these reminders, you can simply untick the option when creating the membership.

  • A ready-made template is provided, and you can customise it as you like.


Editing your pending membership reminder emails

  • To start editing the master template for your pending membership reminders email, open your Box office Settings from your Ticket Tailor dashboard.

  • Choose Email templates from the side menu.

  • In the tab called Memberships, select Pending membership reminder email and click Edit.

  • Here, you can edit your pending membership reminder email as you would when editing an email.

    • Use the formatting buttons to bold or italicise certain parts of text, insert images, and turn text into links.

    • Use the people icon to add Placeholders. These can be used to automatically place some buyer details, or memberships details, into the reminder email. Click the Placeholders button and choose the field from the drop-down menu.

      • The placeholder CTA button redirects buyers to Self-serve, where they'll fill in their details. The button text, Add membership details, is fixed and can't be edited.

  • When you're done, click the button marked Save.


💡 Things to note

  • The editable template only applies to the 7-day and 21-day reminder emails. The initial email sent at the point of purchase (prompting the member to add their details) uses a fixed, hardcoded template that cannot be customised from the dashboard.

  • Each reminder email uses a single customisable template per box office (not per membership type).

  • The option to turn on reminders is set at the membership type level.

  • Reminder emails are off by default - you'll need to enable them if you'd like to use them.

  • Email scheduling is fixed at 7 and 21 days post purchase of a membership.

  • If you switch on pending membership reminders after creating a membership type, the timing depends on when the order was placed:

    • Orders less than 7 days old: reminders will be sent on day 7 and day 21.

    • Orders 7–20 days old: a reminder will only be sent on day 21.

    • Orders 21+ days old: a one-time reminder will be sent immediately.

  • The subject line is fixed and can't be customised.

  • If you can't see the option to edit your pending membership reminder emails, this is because you're using an older version of confirmation emails. Contact customer support to add the new reminder emails to your account.
