When setting up Square as your payment processor, you can choose whether you'd like Ticket Tailor to send Basic or Itemised data to Square.
Basic: Payments are sent to Square as a single amount with no item details. Square reports won't include order breakdowns. No items are created in the Square Item Library.
Itemised: Items are created in the Square Item Library for events and products. Users can control how they're structured, assign their own Square categories, and get detailed data in Square's reporting tools.
If you select Itemised during the setup process, your sales appear as itemised records rather than generic 'custom amount' transactions.
This means you can use Square's native Item Sales and Category Sales reports to track your event revenue, reconcile with accounting tools, and stay on top of tax, without any manual work.
This is an example of what an itemised report might look like in Square:
What 'Itemised' reporting includes
Transactions appear in Square as itemised orders, with event name, ticket type, and price visible as line items.
Sales tax is split out under a separate tax column.
Orders appear in Square's Category Sales and Item Sales reports.
How to add itemised reporting to your Square account in Ticket Tailor
Head to Settings, then Payment systems from the left-hand side menu.
Scroll down to the Square section.
Click on the Enable itemised reporting button.
Select the Itemised option, and then click Reconnect to Square.
You'll be redirected to a Square page where you can view your previously granted permissions. Click Allow. This will reauthorise your Square account.
Adjust your Square settings as required.
Once enabled, this will trigger a catalogue sync and begin sending itemised order data going forward. This does not backfill historical orders.
You can switch back to Basic at any time by clicking on the three dots next to your Square account and selecting Item Library settings. Historical orders created under the Itemised setting will remain in Square as they were.
Square categories
Default category
All items are automatically filed under a 'Ticket Tailor' category by default. This means that all of your Ticket Tailor sales are distinguishable from other revenue sources in Square.
Custom categories
If you use custom categories in Square for your own reporting structure, you can assign these to your events at the Box office level, event level, or product level.
When setting up an event or product, there is an option to Use box office default under the Square reporting category.
Head to your event, then select Edit event and tickets from the left-hand side menu.
Scroll down to Payment settings.
Ensure that Square is selected as a customer payment method.
Under Square reporting, select the Square category you'd like this event's tickets to appear under (your existing Square categories will be listed here to choose from).
You can also select the Use box office default option, which dynamically reflects the current box office-level category.
If the box office category changes, any events/products set to Use box office default will automatically inherit the new category.
If you don't want an item to be categorised, select Uncategorised.
💡 If a custom category is deleted in Square, affected events/products will appear as uncategorised going forward. A warning banner will appear in the Ticket Tailor dashboard, reminding you to reassign a new category.
How add-on products appear in Square
Users can choose how add-on products appear in Square at the box office level. There are two options:
Within event item: Products appear as variations of the event item and inherit the event's category. This is best if you want a simple, consolidated view.
Individual item: Products appear as separate items in Square and can be assigned their own category. This is best if you need to report on product sales separately.
Switching between these options only affects future orders. Historical orders remain as they were. New items will be created in Square's item library to reflect the new structure.
💡 If a product is sold both via the store and as an event add-on, it may appear as two different items in Square depending on configuration.
How recurring events appear in Square
You can choose whether a recurring event appears in Square as one catalogue item for the whole series, or one item per occurrence (e.g. per date/time).
Changing this setting triggers a re-sync. Historical sales stay on the previous item; the change only affects future sales.
If you change the setting, and then change it back, the same applies: new items are created and only future sales are affected.
For recurring events with a large number of occurrences, choosing per occurrence will create a catalogue item for each one.

Using Square's reports
Once set up, you can use:
• Item Sales report - To see revenue broken down by event and ticket type.
• Category Sales report - To see totals by category.
• Tax summary - To review sales tax collected across your events.
💡 Things to note
Free tickets and £0 line items are still sent to Square as items.
Ticket Tailor never deletes catalogue items from your Square account. If you want to clean up old items, you can do so directly in Square.
Items and categories created by Ticket Tailor in Square are managed by Ticket Tailor. You shouldn't edit or move them in Square directly.
