How to connect your HubSpot account
Head to ‘Box office settings’ and choose ‘Integrations’ in the sidebar.
Under the 'Email marketing & CRM' tab, look for the 'Integrate with HubSpot' option, and choose ‘Configure’.
Select 'Activate' to activate your monthly billing.
Choose ‘Configure’ and then ‘Create new workflow' to begin setting up the integration.
You’ll be taken to a new page with a list of available workflows you can create.
How to add new HubSpot workflows
The first time you create any workflow, you’ll need to authenticate the integration by providing details from your HubSpot account.
You’ll be prompted to sign into your HubSpot account and provide the 'Scopes' (or permissions) that this integration is allowed to access.
Click 'Sign in', and you should see a new window pop up to log in to HubSpot.
After you’ve signed in, and depending on the workflow you choose to create, you may be asked to provide more details and information before completing the setup by clicking the ‘Create’ button.
Now, you’re ready to start synchronising data about your Ticket Tailor buyers and events into HubSpot.
What information is sent to HubSpot?
Only buyer details are synchronised, not attendee details.
Depending on the information you collect from buyers during Checkout, the corresponding contact in HubSpot is able to synchronise:
Email address (required).
First and last name.
Phone number.
Contact synchronisation is based on matching email addresses, so if a buyer makes multiple orders with different email addresses, they'll end up as different contacts in HubSpot.
If there’s an existing contact with the same email address, it'll be updated with any new buyer information.
Marketing event synchronisation is based on the Ticket Tailor event series and event ID, which HubSpot calls the 'External Event ID'.
If there’s an existing HubSpot marketing event with a matching event series and event ID, then this will be updated if any information has changed.
If there isn't a matching HubSpot marketing event, then a new one will be created.
HubSpot’s acceptable use policy requires that your recipient grants verifiable permission before you send them a marketing email through HubSpot (explained here), so buyer contacts are only added to a mailing list if they chose to opt in to joining your mailing list.
