If you would like to collect email addresses from prospective ticket buyers when tickets are unavailable then you need to use our waitlist feature.

In a nutshell, here's how it works:

  1. Set up the waitlist for your event in your Ticket Tailor admin panel
  2. Customers will now see an option to join the waitlist from your event page or booking widget by entering their email address
  3. When tickets become available you can use Broadcast to send them an email to notify them that tickets are available

1) Set up the waitlist for your event in your Ticket Tailor admin panel

Click through to your event and click on Waitlist from the side menu. From here click Activate waitlist.

If you would like your ticket buyers to only see the waitlist form only when no tickets are available, then tick the box that says: Show only when no tickets are available.

Now you can configure the text that shows on the form. Feel free to use the default text we have provided or customise it to suit your needs.

Finally click Save and the waitlist is set up.

2) Customers will now see an option to join the waitlist from your event page or booking widget by entering their email address

You customers will now see the waitlist form which might look something like this:

Now that ticket buyers can see your waitlist form they can enter their email address and click the button to be added to your list. You can then see the signups from the waitlist section of your admin panel like so:

How to collect email addresses before your event goes on sale

This feature is intended to be used when an event sells out, however you may like to collect email addresses before your event goes on sale. This is possible but it requires some additional steps to set up.

Ticket buyers won't be able to see the waitlist form if your event state is DRAFT. In order for them to be able to see it before your tickets go on sale, please set your event state to be ON SALE or SALES CLOSED. When you set your event to ON SALE  you can prevent people from buying tickets by setting each ticket status to HIDDEN or use the Hide until a set date and time option. These options are available by clicking Advanced settings when editing an individual ticket.  

3) When tickets become available you can use Broadcast to send them an email to notify them that tickets are available

Okay, now you have a number of signups on your list and you have fresh tickets on sale. From the Waitlist section of your admin panel you will see a list of all your new signups as shown above. To notify them directly from Ticket Tailor, click Create Broadcast, which will take you over to our Broadcast tool and allow you to send them an email notifying them that tickets are available. (Don't forget to include a link to the ticket buying page!!). 

Once the Broadcast has been sent out, the signups that were notified will move from the New signups tab to the Notified signups tab. This makes it easy to keep track of who on your list has or hasn't been notified.

You don't have to use Broadcasts to notify signups

If you would like to notify signups using a different tool outside of Ticket Tailor that's no problem. Instead of clicking Create Broadcast, click Export data. Now you will get a bunch of options about what you would like to export. 

If you are planning on notifying these signups, then ensure the checkbox labelled Mark new signups as notified after export is checked and click Download report. You will get a CSV report of all the signups you requested and the new signups will move to notified signups.
