How can I manage my event occurrences?

Once your recurring event has been published, you may need to make some changes to your schedule.

How to manage your event occurrences

  • From your event overview, you'll see an ‘Occurrences’ button in the left-hand side menu. Click this tab to navigate to the page where you can manage your event dates and times.

Adding occurrences

  • If you're extending your event, you can easily add additional single, or repeating, occurrences using the buttons you used when you set up your event.

Changing the time of a specific occurrence

  • If you need to reschedule the date or time of one specific occurrence in an event series, first locate the event in the list.

  • Click the 'more actions' button (shown as three dots), and click ‘Edit’.

  • When you've made the changes to your event, click 'Save'.

  • If you want to inform your ticket buyer of the event change, you can send them a broadcast.

Hiding your occurrence

  • To hide one event in your series, for example, due to a corporate booking, or because that date and time can no longer go ahead, click the 'more actions' button next to your occurrence.

  • Select ‘Set hidden', and then 'Confirm'.

  • Your occurrence will still show in your dashboard list, but with the ‘hidden’ icon next to it, and your ticket buyers will no longer be able to see it on your box office.

Setting your occurrence as unavailable

  • If you've previously been selling an occurrence, but it's no longer available, you can make this known to your ticket buyers by setting the occurrence as unavailable.

  • To do this, click the 'more actions' button next to your occurrence, and select ‘Set unavailable’.

  • If you want to add a custom message to your occurrence, for example: 'sold out', you can do so by typing your message in the text box when prompted.

  • Select ‘Confirm’.

  • Your occurrence will still show in your dashboard list, but with the ‘unavailable’ icon next to it, and your ticket buyers will no longer be able to book tickets for this occurrence.


💡 Things to note

  • To reverse any of these steps, select the 'more actions' button again, and reverse the changes.

  • You can also set occurrences as visible, hidden, available, unavailable, or delete occurrences in bulk by selecting the checkboxes next to the occurrence, and then using the dropdown that appears at the top of your occurrences list.
